Sales automation

The system takes over the repetitive sales tasks: enrichment, routing, reminders, follow-up, reporting. Your team keeps what builds trust, and gains the time for it.

01 How you recognise it

Does this sound like your situation?

Three starting points we see regularly. One of them is enough.

  • 01

    Follow-up depends on memory

Offers without an answer, meetings without a next step, contacts without activity. It only becomes visible once it is too late.

  • 02

Data is filled in by hand

Industry, size and decision makers are looked up instead of being there from the start.

  • 03

Two truths: sequence tool and CRM

Activities from the sending tool are missing in the CRM. At month end a picture is assembled from exports.

02 What you get

Three results you will notice in daily work.

  • A list of what gets automated and what does not

Defined together with your team. It is the starting point of every project and the boundary that protects trust.

  • Six automations with an immediate effect

Enrichment, routing, reminders, follow-up support, conversation preparation and reporting.

  • Metrics before and after

Response time, meetings with a next step, activities, cycle length and conversion, measured honestly.

03 What it looks like

A flow after the offer.

Schematic example with fictitious data

Trigger, condition, task, stop and approval, fully defined before anything runs.

ElementDefinition
TriggerCase moves to the stage “offer sent”
ConditionOffer date set, no closing date in the past, contact has not objected
First reminderWorking day 3: task for the responsible person with prepared text and a reference to the offer
Second reminderWorking day 8: another task, provided no reaction has been recorded
StopCustomer replies, new meeting booked, case won or lost
EscalationAfter the second reminder without a reaction the case goes to sales management for a decision
ApprovalEvery message to the customer is checked and sent by a human

Without a stop rule a sequence writes to people who replied long ago. That does more damage than the automation delivers.

How do we start?

Ioannis and Tugce Fotiou discussing a process together at the desk
This is how every collaboration starts: with a concrete process on the table, not with a specification document.

Repetitive steps in sales happen manually, irregularly or not at all.

One automated flow, for example the follow-up after a demo, including stop rules and approval points.

Your current templates and sequences, plus the decision on what may go out without human approval.

We only need these accesses and documents once we start working together. For a first conversation, a short description of your situation is enough.

04 Definition

What sales automation is and what it is not.

What is sales automation?

Sales automation is the automation of recurring sales tasks such as lead routing, data completion, reminders and reporting.

The benefit does not lie in the automation itself but in the room it creates: sales people who no longer copy data, juggle reviews and assemble reports have more and better conversations. Sales automation is therefore not a replacement for sales but its infrastructure.

The boundary matters just as much: whatever builds trust, meaning conversation, consulting and negotiation, is not automated.

05 The boundary

Automate or deliberately keep human?

This list is the starting point of every project. It gets adjusted together with your team.

Automate

  • Enquiry capture, duplicate checking and enrichment
  • Assignment by region, segment or capacity
  • Tasks, reviews and reminders
  • Follow-up sequences with templates and AI drafts
  • Status changes from activities (meeting booked, offer sent)
  • Conversation preparation: company profile, history, signals
  • Summaries of conversations into the CRM
  • Reporting, forecast and activity analysis

Keep human

  • Discovery and consulting in the conversation
  • Judging whether an account really fits
  • Wording and approving individual messages
  • Pricing, commitments and negotiation
  • Handling objections and conflicts
  • Decisions with an external effect

06 Use cases

Six automations with an immediate effect.

  • 01

    Enrichment

Complete company and contact data automatically as soon as a record appears: industry, size, technology, contacts.

  • 02

    Routing

The right enquiry with the right owner, within minutes, with context and a task.

  • 03

    Reminders

Deadlines from the process instead of from memory: offer without an answer, meeting without a next step, contact without activity.

  • 04

    Follow-up support

Sequences per conversation type, AI-supported drafts referring to the conversation, approval by the sales person.

  • 05

    Meeting preparation

An automatic briefing before every meeting: who, what has happened, which signals, which open points.

  • 06

    Reporting

Pipeline and activity in real time, without exports, without Excel, without questions inside the team.

07 Outbound infrastructure

Automation for outbound at a larger scale.

Anyone running outbound systematically needs more than a template. Four building blocks without which cadences do not work.

  • Sending domains and deliverability

Separate domains for outbound, technical safeguards, warm-up and reputation monitoring. Without that every cadence lands in spam.

  • A sequence tool connected to the CRM

Cadences run in a tool that writes every activity back into the CRM. Otherwise two truths appear.

  • Data flow and rules

Who gets contacted when, when does a sequence pause, when does a human take over? Rules stored in the system, not in someone’s head.

  • Measurement

Response rates per segment, channel and message, the basis for improving outreach and audience continuously.

08 Next

From automation to AI.

Rule-based automation covers most of it. Where understanding, summarising or researching is required, AI agents take over, for example for account research, conversation summaries and follow-up drafts. Together they are the revenue system FIOXX builds.

09 FAQ

Common questions about sales automation

Does automated selling not feel impersonal?

Badly done, yes. Well made sales automation is invisible: it makes sure the personal message arrives on time, with the right context, and that nobody is forgotten. What the customer reads has been approved by a human. The machine only made sure it did not stall.

Which tools does FIOXX use for sales automation?

The automation features of your CRM, extended by sequence and automation platforms and, where needed, our own integrations. We choose by process, data protection and operating cost, not by tool preference. Existing tools stay if they fit.

How do we measure the effect?

By metrics defined beforehand: response time to enquiries, share of meetings with a next step, activities per sales person, cycle length, conversion per stage. We measure before the rollout and afterwards, and report honestly on what changed.

Next step

How much time does your sales team spend on tasks a system could take over?

We analyse your process step by step and show which tasks can be automated and which should deliberately stay with people.
