Revenue operations

Marketing, sales and customer service work with the same terms, data and numbers. Without a department of your own, with an operating rhythm that works in a mid-sized company.

01 How you recognise it

Does this sound like your situation?

Three starting points we see regularly. One of them is enough.

  • 01

Marketing and sales disagree on what “qualified” means

Both sides understand something different by the term. Enquiries get lost in the handover.

  • 02

    The numbers contradict each other

Every team has its own tools, its own definitions and its own reports.

  • 03

Nobody knows which activity brings revenue

Reports come from exports and trigger debates instead of decisions.

02 What you get

Three results you will notice in daily work.

  • Shared definitions

Enquiry, qualified, opportunity, stages, closing, churn: terms that mean the same thing in every team.

  • A system map with data rules

Which system leads which data, which connections are missing, which mandatory fields and owners apply.

  • A metric set and an operating rhythm

A few reliable metrics with a definition and a source, plus regular meetings for pipeline and data quality.

03 What it looks like

One metric, properly defined.

Schematic example with fictitious data

A metric only becomes usable once calculation, source, ownership and limits are settled.

ElementDefinition
MetricResponse time to new enquiries
CalculationMedian time between arrival and the first documented reaction, in working hours
Data sourceCRM: field “received” and first activity on the case
OwnershipSales management; data maintenance with the responsible person
RhythmWeekly in the pipeline meeting, monthly in the report
LimitsCounts working days only. Enquiries without contact details are excluded and reported separately.

We deliberately do not name a target value. That comes from your market and your capacity, not from a template.

How do we start?

This is how every collaboration starts: with a concrete process on the table, not with a specification document.

Marketing, sales and service work with different numbers and different definitions.

A shared definition of the most important metrics with data source and responsible role.

Access to reporting and CRM, plus one contact person each from marketing and sales.

We only need these accesses and documents once we start working together. For a first conversation, a short description of your situation is enough.

04 Definition

Revenue operations, explained simply.

What is revenue operations?

Revenue operations (RevOps) is the practice of aligning processes, data, systems and metrics across marketing, sales and customer service so that revenue becomes predictable, measurable and manageable.

In growing companies marketing, sales and service often grow separately, with their own tools, their own terms and their own reports. The result: enquiries get lost at handovers, the numbers contradict each other, and nobody can say which activity actually leads to revenue.

RevOps does not solve that with another tool but with a shared foundation. At FIOXX that is not theory: we come from hands-on sales and build the systems ourselves.

05 The four levels

What revenue operations is made of.

From the bottom up: without a clear process no clean data, without clean data no reliable systems, without reliable systems no trustworthy metrics.

  • Level 1

    Process

How an enquiry appears, is qualified, handed over, won and served, as one continuous flow across department boundaries.

  • Level 2

    Data

A shared data model with consistent definitions: what is an enquiry, what is qualified, what is a customer? Without that agreement the numbers contradict each other.

  • Level 3

    Systems

CRM, marketing tools, support system and ERP connected so that information flows instead of being copied.

  • Level 4

    Metrics

A reporting set that marketing, sales and customer service use together, from enquiry inflow to customer retention.

06 For mid-sized companies

RevOps without overhead.

Does a mid-sized company need revenue operations?

Yes, as a practice, not as a department. As soon as several people work on enquiries, several systems are in play or reporting triggers debates instead of decisions, a shared foundation pays off.

The mistake in many RevOps initiatives is overbuilding: frameworks, roles and tools before the basics are right. FIOXX starts with what has a measurable effect: definitions, a data model, one reporting set. We only extend where the process demands it.

07 Results

What a RevOps project with FIOXX delivers.

  1. 01

A survey of the current state

Processes, systems, data flows and metrics as they really are today, documented with the people involved, not derived from org charts.

  2. 02

    Shared definitions

Enquiry, qualified enquiry, opportunity, stages, closing, churn: terms that mean the same in every department.

  3. 03

    A system map

Which system leads which data? Which integrations are missing, which are redundant? The basis for every technical decision.

  4. 04

    Data rules

Mandatory fields, ownership, duplicate logic, clean-up. So data gets better over time instead of worse.

  5. 05

    A reporting set

A few reliable metrics with a clear definition and source, for management, sales leadership and marketing.

  6. 06

    An operating rhythm

Pipeline reviews, data quality checks, improvement cycles: RevOps is an ongoing practice, not a one-off rollout.

08 Next

RevOps needs systems that play along.

The system map almost always shows gaps: missing connections between CRM and ERP, marketing tools without a return channel, reporting from exports. FIOXX closes them with CRM automation, CRM and ERP integration and API integrations, from one hand, without translation losses.

09 FAQ

Common questions about revenue operations

Does a mid-sized company need a RevOps department?

No, but it needs RevOps as a practice. The tasks can be covered by existing roles once processes, definitions and systems have been set up properly. FIOXX takes on the build and supports you until the operating rhythm runs.

Where does a RevOps project start?

With the survey and the definitions. Most conflicts between marketing and sales arise because both understand something different by “qualified”. Once the terms are clear, systems and reporting follow almost by themselves.

How does RevOps differ from sales operations?

Sales operations optimises sales alone: processes, tools, commissions, territories. Revenue operations looks at the whole revenue process across marketing, sales and customer service, with shared data and shared goals.

Do marketing and sales at your company talk about the same numbers?

If not, that is not a communication problem but a systems problem. Let us talk about what RevOps can look like for you in practice.
