Examples

Typical scenarios.

Eight typical use cases from sales, systems and administration. The examples show possible flows and the results we work towards, each with the problem, the manual process today, the FIOXX approach and the systems involved. They are deliberately not case studies and contain no invented numbers.

01 Sales & Revenue

B2B prospecting & research

A clearly defined target profile, AI-supported research and enrichment, qualification rules and a clean handover into the CRM.

Systems involved

  • CRM
  • Data sources and enrichment APIs
  • LinkedIn
  • Spreadsheets
Problem
Anyone selling products that need explaining needs the right accounts, not the most accounts. In practice target customers are assembled from gut feeling, bought lists or old exports. The result: a lot of outreach effort for companies that never fitted.
Manual process today
Searching on LinkedIn and in company databases, copying company data into spreadsheets, manually checking industry, size and technology, transferring into the CRM, often more than once and in different versions.
The FIOXX approach
We define the ideal customer profile and the qualification criteria together. Then we build a research workflow in which AI-supported search and data enrichment do the preparatory work and rules assess the results. Only qualified accounts land in the CRM in a structured form, including the reason why they fit.
Possible result
Less time in research, higher data quality and outreach lists that match the offering. Sales starts with context instead of an empty line.

02 Revenue Systems

Lead-to-CRM automation

Automatic capture, duplicate checking, enrichment, routing to the right owner and an immediate task in the CRM.

Systems involved

  • Website forms
  • Marketing and event tools
  • CRM
  • Email / messaging
Problem
Enquiries arrive through different channels: contact form, trade fair scans, webinars, partners. Without a defined path into the CRM it depends on the individual whether and when an enquiry is handled.
Manual process today
Someone reads the inbox, creates the contact manually, searches for duplicates, decides who is responsible and informs the colleague. Or forgets one of those steps.
The FIOXX approach
We connect all enquiry sources to the CRM, check for duplicates, enrich company data and route the enquiry by clear rules (region, segment, product) to the responsible owner. A task with a deadline and context makes sure the response does not stall.
Possible result
A faster first response, no lost enquiries and a CRM that reflects the actual status, the basis for reliable reporting.

03 Revenue Systems

Sales follow-up automation

Follow-up sequences per meeting type, AI-supported drafts for approval, tasks and escalation when nothing moves.

Systems involved

  • CRM
  • Email
  • Calendar
  • Note and meeting tools
Problem
In sales of products that need explaining it is often the third or fourth follow-up that decides. Exactly those steps disappear when the calendar is full and the reminder only lives in the sales person’s head.
Manual process today
After the meeting the notes are filed somewhere, the follow-up email is written “when there is time”, reviews are missing or get postponed.
The FIOXX approach
We define the next steps and timings for each conversation type (first conversation, demo, offer). The CRM creates tasks automatically, AI-supported drafts prepare the message with a reference to the conversation. Approval and the personal tone stay with the human. If a case stalls, the system escalates.
Possible result
Consistent follow-through across all deals, shorter cycles and a team that concentrates on conversations instead of administration.

04 Revenue Systems

CRM & pipeline automation

Stages with exit criteria, automatic status changes, mandatory fields in the right places and dashboards from real data.

Systems involved

  • CRM
  • Reporting / BI
  • Calendar and email integration
Problem
When every person interprets the stages differently, the pipeline says little. Managers ask questions, sales people update afterwards, and at month end the reporting is assembled by hand.
Manual process today
Deals are moved on gut feeling, closing dates are estimated, analyses are exported and prepared in spreadsheets.
The FIOXX approach
We define stages with clear entry and exit criteria, automate status changes where they can be derived from activities, and require only the fields genuinely needed for steering and forecasting. Dashboards read straight from the CRM.
Possible result
A forecast you can trust, fewer questions inside the team and reporting that appears without rework.

05 AI & Automation

AI knowledge assistants

An assistant with access to approved sources that answers with a source reference, secured by a permission model.

Systems involved

  • Document storage / DMS
  • Wiki and intranet
  • CRM
  • Chat or ticket tools
Problem
The question “how was that again with …?” costs time every day: when preparing an offer, in a customer conversation, in support. The knowledge exists but is not available in the situation where it is needed.
Manual process today
Asking colleagues, searching folders, opening old emails, comparing document versions.
The FIOXX approach
We build an internal assistant that accesses approved sources only, answers with a reference to the original document and respects permissions. It should mark missing or uncertain knowledge as such; test cases and spot checks are part of operation.
Possible result
Knowledge becomes available where the work happens. Answers can be verified, and expert knowledge depends less on individuals.

06 Software & Systems

ERP / CRM data synchronisation

An integration layer with defined field rules, synchronisation direction, error handling and monitoring.

Systems involved

  • CRM
  • ERP
  • Integration / middleware layer
  • Monitoring
Problem
CRM and ERP grow separately: sales maintains contacts and opportunities, delivery maintains customers, orders and invoices. Without integration you get diverging addresses, duplicate customer numbers and questions between departments.
Manual process today
Data is entered again when an order arrives, changes are passed on by email, exports are compared against each other.
The FIOXX approach
We define which system leads which data, define field mappings and rules, and build a monitored integration with proper error handling, whether through standard interfaces, APIs or a lean middleware.
Possible result
Fewer errors in offers and invoices, less manual coordination and a reliable basis for reporting across the whole customer lifecycle.

07 AI & Automation

Document & administrative automation

Document recognition and processing, templates from CRM and ERP data and defined approval steps.

Systems involved

  • ERP
  • DMS / storage
  • CRM
  • Email
Problem
Administrative work around documents rarely adds value but is unavoidable: assembling offers, recording orders, checking invoices, filing paperwork. It ties up capacity that is missing in customer contact.
Manual process today
Typing data from PDFs, filling templates by copy and paste, filing documents in folders and mail attachments, approvals by shouting across the room.
The FIOXX approach
We automate recognition and extraction from incoming documents, generate outgoing documents straight from CRM and ERP data, and build in approval steps wherever humans have to decide. Everything stays traceable.
Possible result
Faster turnaround from enquiry to invoice, fewer transfer errors and documents that always rest on current data.

08 AI & Automation

Marketing & LinkedIn workflows

A structured content workflow, capture of engagement signals and handover of qualified contacts to sales.

Systems involved

  • LinkedIn
  • Marketing and content tools
  • CRM
Problem
Signals appear on LinkedIn every day: reactions, comments, profile visits, followers from target companies. Without a process they stay inside the platform and never reach sales.
Manual process today
Posts are published ad hoc, reactions are reviewed manually, interesting contacts are, if at all, transferred into the CRM by hand.
The FIOXX approach
We structure the planning and production of content, capture relevant engagement signals systematically, assess them against the target profile and hand qualified contacts to sales with context. With IYOS, FIOXX is also developing its own AI product for LinkedIn marketing.
Possible result
Marketing that contributes measurably to the pipeline, and a sales team reacting to warm signals instead of cold lists.
